Admin Assistant

KBH has a competitive presence in the legal market and is currently seeking an Admin Assistant. The role will be based in the Dubai office in the DIFC.

Duties and Responsibilities:

  • Operate the office switchboard and handle reception duties
  • Organise and file emails in accordance with company protocols to maintain an efficient and accessible electronic filing system
  • Organise and file documents in accordance with company protocols to maintain an efficient and accessible electronic filing system
  • Format all matter-related correspondence, engagement letters, documents, presentations and spreadsheets
  • Print bundles of documents for court hearings or internal use
  • Update and maintaining client contact database
  • Manage and organise stationery inventory, and place order for office/pantry supplies as required
  • Manage courier services to ensure smooth service delivery
  • Circulate the daily calendar to relevant team members, ensuring all appointments, meetings, and deadlines are communicated effectively
  • Organise and manage office events, including staff birthdays, ensuring they are celebrated and acknowledged appropriately
  • Handle hotel bookings and reservations for staff and visitors, ensuring all arrangements are made efficiently and cost-effectively

Requirements:

  • Proven experience as an Admin Assistant or in a similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong organisational and multitasking abilities
  • Excellent communication skills, both verbal and written
  • Ability to maintain confidentiality and handle sensitive information
  • Detail oriented with a proactive approach to problem-solving
  • Familiarity with office management systems and procedures
